That is the whole job. Talk to people the way you normally talk to people. No link, no code, no app.

They call us and give your name

Your name has to reach us at or before the end of our first conversation with them. A heads up from you works too, as long as it gets to us first.

The $25 after their visit. The $275 after their install is paid for. That second one follows their job, not our calendar.

Why we do it this way.

We do not call people whose names get handed to us

Please do not give us a list of names and numbers. Calling a stranger who never reached out is a good way to annoy your neighbor, and it is a legal problem for us. Your friend contacts us. That is the only way this works.

We will never ask you to text or forward anything

Every referral program on the internet ships a share-by-text button. Washington law treats a commercial text to someone who did not ask for it as a real liability, for us and potentially for you. So there is no button, and a referral that arrives by blast text does not qualify.

Effective September 12, 2026. Written so a homeowner can read them in five minutes. If anything here is unclear, call and ask.

The short version

If you send us a neighbor, a friend, or a family member and we end up replacing their system, we pay you $300 by check, in two pieces.

$25 comes after their free in-home visit actually happens. That $25 is yours even if they never buy anything from us. The other $275 comes after their system is installed and paid for in full, which is usually a few weeks to a few months after the visit, because that is how long a job takes.

There is one level. You get paid for people you send us, and that is where it ends. Nothing to buy, nothing to join, nobody to recruit.

There is one place where money comes back, and we are putting it up top instead of burying it: if the job is cancelled or refunded after we have already paid you the $275, you pay that $275 back. Section 9 explains exactly how that works and what we do to make sure it almost never happens.

1. Who can refer

You can refer if you are 18 or older and you are one of our customers. That means we have installed, serviced, repaired, or maintained equipment for you, or you have a signed agreement with us.

You do not sign up for anything. There is no fee, no kit, no account, and no quota. You are not becoming a salesperson, a contractor, or an agent of Pacific Peak Mechanical, and nothing in this program makes you one.

One thing we do ask: please do not make promises on our behalf. Do not quote a price, a timeline, a rebate, or a warranty for us. Tell your friend what we did at your house, give them our number, and let us handle the rest.

2. Who counts as a referred customer

The person you refer has to be:

  • 18 or older
  • The owner or the decision maker for the home, or the person authorized to approve the work
  • At a residential property in Clark County, Washington, or in the nearby areas we serve. If you are not sure whether an address is in our area, call and ask before you send them.
  • New to us for this project

New to us means that, before your name was recorded, that person had not contacted us in any way in the last twelve months, had not had an estimate from us in the last twelve months, was not on our schedule, and was not already an open lead in our system. The same twelve month rule is used everywhere in these terms.

One referral per household. Once we record your name for an address, it stays attached to that address for twelve months. After twelve months with no work done, the referral expires and can be claimed fresh.

3. How a referral gets claimed, and the one rule that matters most

Your friend calls or texts Pacific Peak Mechanical at (360) 838-5568 and gives your name.

Your name has to reach us at or before the end of our first conversation with them. First contact means their first inbound contact of any kind, which includes a call, a voicemail, a text, an email, a form on our website, or a message through Google or social media. First conversation means the first time someone from Pacific Peak Mechanical actually talks, texts, or emails with them about work at their home, or the first appointment we put on the calendar, whichever happens first.

So there are two safe ways to do this, and either one works:

  • Your friend leads with your name when they reach out. Easiest and cleanest.
  • You text or call Sam yourself to say you gave someone our number, and it reaches us before our first conversation with them. A heads up from you counts. We still will not call them. They have to reach out.

Here is how we settle it if there is ever a question. At first contact we write down your name, their name, and the date and time on their lead record. That record is what decides it. If two people are named for the same address, we pay the first name written down. If no name was written down before that first conversation ended, we cannot pay a referral on it. We are glad you told them about us either way, but we have to draw the line somewhere, and this is a line we can actually check.

Please do not give us a list of names and phone numbers. We will not call them. We do not cold call people who have not reached out to us, and that is on purpose. Calling a stranger who never contacted us is both a good way to annoy your neighbor and a legal problem for us.

4. Tell your friend you get paid

Please tell the person you refer that we pay you for the referral. It is a short sentence, it costs you nothing, and it is what an honest recommendation looks like. The FTC expects people who get paid for a recommendation to say so. We may also mention it to them.

On the other side of that: we will tell you only what we need to explain your payment, which is whether your referral qualified, whether the visit happened, and whether the job completed. We will not share your friend's price, their financing, their schedule, or anything else about their job. We also will not use your name, address, or photo in our advertising unless you tell us yes.

5. What we will never ask you to do

We will never ask you to text, forward, or mass-message anything to your contacts, and we ask you not to do it. No blast texts, no group messages, no autodialers, no forwarding our number to a list, no posting someone else's phone number to us.

This one has teeth. A referral that comes to us through a blast text, a group message, an autodialer, or a purchased, scraped, or harvested list does not qualify and we will not pay it.

Washington is strict about commercial text messages sent to Washington cell phones without permission, and that risk can reach people who help send them. We are not putting you anywhere near it. Nothing in this paragraph is legal advice, it is just why we run the program this way.

Just talk to people the way you normally talk to people. If somebody is complaining about their heating bill, tell them what we did at your house and give them our number. That is the entire strategy.

6. What we pay and when it is earned

Payment 1. $25 after the free in-home visit happens.

Happens means one of us was at their home and completed the visit. Booked and then cancelled does not count. No-shows do not count. Rescheduled does not count until the visit actually takes place. Once the visit is done, that $25 is yours whether or not they ever buy anything, and we do not ask for it back. The only exception is a faked referral, which is covered in section 9. One $25 per referred household, no matter how many visits we make there.

Payment 2. $275 after the system is installed and paid for in full.

Both have to be true. The equipment is in and running, and the final payment has cleared. If they are financing through Synchrony or Wells Fargo, paid in full means the lender has funded the job and the money is in our account. It does not mean your friend has finished paying off their loan.

This second payment usually lands a few weeks to a few months after the visit, because that is how long it takes to design a job, order equipment, install it, and get paid. We do not control that timing and we are not going to promise you a date.

Total. $300 per successful referral.

One reward per referred household per project, no matter how many pieces of equipment or how many systems go into that home. Two separate homes from you are two separate referrals.

This is a single level program. You get paid for people you send us, and that is the end of it. There is no second level, no downline, no bonus for volume, no rank, and nothing to recruit anyone into. You do not earn anything from referrals made by people you referred.

7. The yearly limit and the tax paperwork

Limit: $1,999 per referrer per calendar year.

That number is not random. For payments made in 2026, the federal reporting threshold is $2,000 or more paid to one person in a year. Staying under it keeps this a simple thank-you check instead of a pile of paperwork for both of us. Six full referrals is $1,800, which is a lot of neighbors. That threshold is set by federal law and can be adjusted after 2026. If it changes, we may change this cap, and we will post it here first.

How the cap works at the edge. We will not send a payment that would take your calendar year total over $1,999. If your next payment would cross it, we pay the part that fits and the rest is not paid. Amounts blocked by the cap do not carry into the next year. We will tell you when you are getting close so nobody is surprised.

Which year a payment counts in. A payment counts against the cap for the year the check is dated. If you earn a reward in late December and we mail it in January, you still get paid, and it counts against the new year's cap. The cap resets January 1.

The W-9. Before we can send your first check, we need a completed Form W-9 from you. We will hand you one or email you one. It asks for your legal name, your mailing address, and your Social Security number or EIN. We keep it in a locked file, we use it only for this program, and we destroy it once the IRS record keeping period runs out, which is four years.

Backup withholding. Because we do not pay anyone before we have their W-9, the missing taxpayer ID case should never come up. If the IRS ever notifies us that we have to backup withhold on you, we are required to hold back 24 percent of your reward and send it to the IRS. In that case we would also have to file an information return for you no matter how small the payment was, so the cap would not spare either of us the paperwork.

Taxes. Referral rewards are generally taxable income to you, whether or not anyone files a 1099. Not getting a 1099 does not make money tax free. You are responsible for your own taxes on these payments. If a 1099 ever is required, we would expect it to be a Form 1099-MISC, but do not take our word for it. We are an HVAC company, not your accountant, and none of this is tax advice.

8. How you get paid

By check, mailed to the address on your W-9. The check goes to the person whose name was recorded. Rewards are not transferable and cannot be assigned to somebody else.

Timing:

  • The $25 goes out within 30 days after the visit happens, or within 30 days after we receive your completed W-9, whichever is later.
  • The $275 goes out within 30 days after all four of these are true: the system is installed, we have been paid in full, the three business day right to cancel that applies to in-home sales has expired, and we have your W-9.

We wait on that last set on purpose. It is how we keep from paying you money we would have to ask you to return.

We do not pay referral rewards as a credit, a discount, or a coupon toward your own future service, and we will not swap your check for free work. A check is clean for everybody, so a check is what you get.

If a check is lost or sits uncashed for 90 days, call us and we will reissue it.

9. If the job is cancelled or refunded after we pay you

If we already paid you the $275 and the job then comes apart, you agree to pay that $275 back. That covers:

  • The customer cancels the contract, including under the three business day right to cancel
  • The customer does not end up paying in full
  • The payment is reversed, charged back, or the financing is unwound
  • We refund the job, in whole or in part

We will not ask for the money back if the reason is on us: if we walked away from a job we could have completed, or we handed back money as a goodwill gesture, that is our problem, not yours.

How it works if it happens. We tell you in writing within 30 days that the job did not complete and how much is owed. We will not share your friend's private details with you. You have 30 days to send it back. If you have other referral rewards coming, we will take it out of those first, and you agree that we can. We will not charge you interest, fees, or late charges, and we will not send it to collections.

Because of the waiting period in section 8, this should almost never come up.

The $25 visit payment is yours to keep as long as the visit really happened.

Faked referrals. If we find out a referral was faked, for example a visit set up by someone who never intended to have work done, we can ask for all of it back, including the $25, and stop paying you rewards.

10. Who we cannot pay

We cannot pay a referral reward for:

  • Your own job, or work at a property you own, rent, or live in
  • Anyone who lives in your household
  • Pacific Peak Mechanical employees, the people who live in their households, and anyone we pay to do work
  • Our subcontractors, suppliers, vendors, and trade partners, and their employees, while they are working with us
  • Anyone who had contacted us in the last twelve months, had an estimate from us in the last twelve months, or was already on our schedule or an open lead before your name was recorded
  • Warranty work, callbacks, and anything we do at no charge
  • Referrals that reached us through a blast text, group message, autodialer, or a purchased, scraped, or harvested list
  • Lead generation companies and marketing companies
  • A job paid for in whole or in part through a utility or government program whose rules do not allow a referral incentive on that job. If that comes up we will tell you before the work starts.

If you hold a professional license, for example real estate, insurance, mortgage, or home inspection, and your license rules or your employer require you to disclose or refuse referral payments, that is yours to sort out before you take the check. We may decline to pay if it would put you sideways with your own rules.

11. What this costs your friend

Nothing. Their price is their price. Being referred does not raise their estimate, and we do not build your $300 into their job. The in-home visit and the estimate are free whether they mention your name or not. We pay referral rewards out of our marketing budget, which is where the money would have gone anyway if we had spent it on ads instead.

We also do not add your friend to any list, sell their information, or hand their number to anyone.

12. Changes, disputes, and ending the program

We can change or end this program at any time. If we do, we will post the change on this page with a new effective date. The version of these terms in effect on the day we recorded your name governs that referral all the way through both payments, even if we change the program or shut it down before the job is finished.

If there is a question about whether a referral qualifies, Sam decides in good faith, and he will tell you exactly why he decided the way he did. If you think he got it wrong, call him. He answers his own phone. Nothing in these terms takes away any right you have under Washington law.

These terms are the whole agreement for this program. They do not change your own installation or service contract with us, or any warranty you have. Nothing written here creates a partnership, an employment relationship, or an agency relationship between you and Pacific Peak Mechanical. Washington law governs, and any dispute belongs in Clark County, Washington. If a court finds one part of these terms unenforceable, the rest still stands.
